Provide a variety of complex and diversified administrative duties and support to the Senior Executives, Board of Directors and Volunteers. Performs duties of a highly confidential nature that require comprehensive knowledge of organizational policies and procedures.
Major Duties and Responsibilities: Provide administrative support including scheduling appointments and meetings, managing multiple calendars and meeting rooms. Draft correspondence and other documents as requested. Attend meetings and record minutes to assign and track tasks as needed. Assist with event coordination/support for both internal and external events and meetings. Process incoming correspondence to determine their significance and plan their distribution. Perform other administrative duties and special projects as assigned.
Coordinate travel arrangements for directors, volunteers and staff. Responsible for maintaining expense reports related to travel. Prepare documents, charts, graphs and/or presentations for Senior Executives.
Experience: A minimum of two years of similar or related experience.
Education: A college degree.
Other skills: The ability to motivate or influence inside or outside senior level personnel, Board of Directors and Volunteers is a critical part of the job, requiring a significant level of influence and trust. Obtaining cooperation and agreement on important outcomes via frequently complex, senior level dialogues, as well as a professional level of written communication skills are essential to the position.
Proficiency in Microsoft Office software (Word, Excel, PowerPoint and Outlook) All work is of a confidential and complex nature, necessitating exposure to sensitive information and contact requiring considerable discretion, judgment, tact and diplomacy. Excellent verbal and written communication skills are required.
